Counter Sheet: record your church’s deposits

After your counters finish, send us the Counter Sheet. Your bookkeeper uses it to record the deposit and allocate it to the right income account, fund or class.

Before you start: have these ready

  • Church name and your email
  • Deposit date and bank account
  • Total deposit
  • How the deposit splits across income accounts
  • Who approved the deposit
  • Deposit slip or other documents to upload (optional)
Best practice

Keeping the offering secure

Collections, whether during the worship service or at other events, should always be in the custody of at least two unrelated people.

  • Hand the offering directly to the counters, or place it in a secure, locked location.
  • It stays there until at least two people retrieve it together to count it.
  • Those two people are responsible for counting it.
  • Checks received by mail are also kept secure until they can be counted.
How it works

  • 1Count togetherAt least two unrelated counters count the offering and mailed checks.
  • 2Send the Counter SheetYour church administration enters the deposit, splits it across income accounts and submits it.

Submit your Counter Sheet

Counters done? Send the Counter Sheet.

Send one after each deposit so your bookkeeper can record it promptly. The form opens in a new tab. Your income account split must add up to the total deposit; the form warns you if it doesn’t.

FAQ

Common questions

Who should fill out the Counter Sheet?
Your church administration submits it after the counters have finished counting.
What happens after I submit it?
Your assigned bookkeeper uses it to record the deposit and allocate it to the right income account, fund or class.
The form says my allocation doesn’t match. What do I do?
The amounts you split across income accounts must add up to the total deposit. Check each line against your count, then submit again.
Why should two unrelated people handle the offering?
Keeping the offering in the custody of at least two unrelated people, from collection until it’s counted, protects both the church and the people who handle the money.
